- Can I host Mentis myself?

Yes. Mentis has traditionally been licensed to institutions to host themselves. In this traditional “You Host” option, Mentis, along with the selected applications, is provided to you as a perpetual license and you are responsible for hosting the system.
In our cloud plans you are provided Mentis (and its applications) as Software as a Service (SaaS). This means freedom from all maintenance task, no long-term purchase commitments and guaranteed uptime.
Irrespective of which option you select, you are guaranteed to get nothing less than the best in class apps and the best in class service.
- I am an existing user of Mentis. Can I switch to a cloud plan?
- If your institution currently hosts Mentis, switching to a cloud plan is as easy as getting in touch with us. In fact you may even be eligible for special discounted annual subscription pricing. To get more information or to request a quote, please contact us.
- How do I migrate data from a legacy system or integrate with existing campus applications.

We offer the Service Desk as a standard feature with our Plus and Premium cloud plans. The Service desk provides you with a single point of contact that you can use for all setup related data migration activities, customization services and integration with other disparate systems that you may already be using on your campus.
In addition, the Service Desk provides an exclusive CV to profile generation service that takes the stress out of creating and maintaining your faculty’s profile.
Even our free starter plan includes sophisticated Import Tools that allow you to bulk upload data into the system using simple pre-defined excel templates.
- How do you ensure safety of data in the system?

Our data centers provide state-of-the-art security measures to guarantee the safety of your data.
Some key security features of our data centers are:- Controlled Physical access which is strictly controlled both at the perimeter and at
building ingress points by professional security staff utilizing video surveillance,
intrusion detection systems, and other electronic means. - Automatic Fire Detection and Suppression equipment has been installed to reduce risk.

impact
to operations, 24 hours a day, and seven days a week. - 24 Hour Environment Monitoring for Weather and Temperature Related Issues

- My institution’s policies does not allow for data to leave our campus premises. How can that be addressed?

If you prefer to go for one of our cloud plans, our Premium plan offers you the flexibility of using an in-house database while the application is still hosted by us in the cloud. Mentis will communicate with your database through the secure communication channel (VPN) ensuring integrity and safety of any data exchanged.
Alternatively, you can go for the “You Host” plan and host both the application and database yourself. - What are the key differences between the different search index options?
- Mentis provides latest search technologies to index your data. All our paid plans include private search indexes and in the case of the Premium plan you are provided with private cluster of such indexes which means your index can grow to multiple server instances thus allowing scalability and high reliability of your search-results.
- Can I use only a single Mentis application in the cloud?
- All applications in Mentis are modular and can be used independently. You can pick and choose the applications which suit your organization’s needs and only pay for what you use. However, as these applications are highly inter-connected and complementary in nature, they do provide synergistic benefits when used together. For information about each application and their pricing plans please refer to the individual applications.
- How can I upgrade/downgrade my plans?
- All our cloud plans are contracted and billed annually. You can downgrade your plans to adjust to your needs once your contract period ends. An upgrade can however be done anytime during the year and we will charge you prorated for the rest of the subscription period.
- What happens to my data once I stop using the service?
- We follow highly structured decommissioning process for storage devices as per DoD 5220.22-M or NIST 800-88 to destroy data as part of the decommissioning process. This means, your data is completely destroyed once you choose not to renew your contract thus preventing any accidental leakage or retention of data after you stop using our services. You can of course request to get a backup of your data before it is decommissioned if you so choose.
- What are the different backup options?
- For both Plus and Premium plans the backup is done daily with backup retention period of one and three years respectively. For starter plans the backups are done on weekly basis with backup retention period of a month. All backups are done on data centers in region different than yours, unless requested otherwise, to ensure higher reliability.
