Mentis 2.8.0

This version has been in the making for some time now as we have been secretly testing some improvements with a limited customer base. We are happy to report that 2.8.0 is finally out of beta and there are a number of changes to be excited about!

ELC: Agency Database Updates

Another 114 agencies are now available in Mentis. These include Secretary of States and a number of additional Nursing Boards. We have also added the phone number for a number of these agencies. As always, we will continue to keep this data up-to-date for you and even more updates will be made available within a few days.

ELC: Student Enrollment

If you have not already worked with us on integrating your SIS with Mentis, we highly recommend using this feature. While SIS integration has been available in Mentis for some time, this update brings to you a new way to query your enrollment data. You can now not only filter your data but run sophisticated queries for more granular filtering.

ELC: Notes

You can now add detailed notes, and upload files with them (optional), in Mentis. The notes feature is currently available for Programs, Employment Monitoring, and State Agencies. If you already had notes in State Agencies, those will now appear with the title Note and you can edit and even upload files to them. To learn more about How to Add Notes visit our help center.

ELC: Employment Coordinator Role

A new role of employment coordinator is now available in Mentis. If you are the Org Admin for Mentis for your organization, you can assign users to this role and let them have access to the Employment Footprint Monitoring page in Mentis.

ELC: Beta Dashboard Color coded Map

The color-coded map on the ELC Beta Dashboard had only 5 intervals for visualizing your authorization status across states. These have now been expanded to 8 intervals to provide more granularity in the visualization so that you can understand better what lies, for example, between 51% and 99%!

Built-in Contextual Help

Help Widget in MentisYou can now access Help from right within Mentis. We have made it even easier for you by providing contextual help based on where you are. Open the Help widget on any page, and find the top articles that may be related to that page right at your fingertips. Click here to learn more about this feature.

 

Major Bugs Squashed

  • ELC: Physical Presence Map for adding physical presence types for your programs sometimes required multiple attempts to load properly. This has now been fixed.
  • Profile: An issue with lifetime awards and how they were presented on the screen has been fixed for the Awards section of Profiles.
  • A few security enhancements were made to tighten the security in Mentis and to stay on top of the latest security advisories.

 

 

Expansion – Mentis 2.7.0

We are pleased to announce yet another smashing upgrade for all of you. Here are some things to look forward to from this release:

Agency Database Updates

230 agencies and their contact information was automatically updated for you and another new 50 agencies for teacher education professional licensure were added.

Program Tags

You can now tag your programs with various customizable tags. We have designed this feature based on popular demand. It provides you a way to notate programs when certain physical presence information is not yet available. You can then use these tags to drill-down reports and identify programs that be potential for physical presence.

Employment Footprint Monitoring

We just expanded our ELC app to include employment footprint monitoring. This addition lets you monitor your employment footprint in other states and maintain information about job title, travel, workers compensation, telecommuting agreements and legal notices all at a single location. The built in report, let’s you drill-down your data to identify employee records that you may need to take an action on.

Other important updates

  • Online Programs are now called Programs to better reflect the range of programs that are being tracked by all of our users
  • Audit trail report now includes the full raw details of the change and sorts the data by date.
  • Color scheme for main authorization progress report on ELC Dashboard (Labs) now uses different color legends to help you better differentiate across states that need closer monitoring.
  • Expense widget now links to the full expense report for better browsing experience

 

Major Bugs squashed

  • Concentrations, when added to programs, are now correctly displayed under Reports
  • Some report filters that were not usable earlier have now been fixed
  • Null values in reports are now replaced with blanks for better readability
  • Only most recently updated agencies are now displayed in your state wise agency widget
  • Some reports that have large datasets now offer pagination to allow you to scroll to the other pages of the report

Collaboration for ELC – Mentis 2.6.0

We are excited to announce our collaboration with Legal Science, LLC.  This collaboration brings integration of Legal Science’s Monqcle State Laws database directly into Mentis. All of our customers using ELC, can now access State Laws for Private and Public institution by state and also SARA policy information. Below is a complete list of all the significant updates you can find in Mentis 2.6.0 focused on the app E-Learning Compliance.

New Data & Resources

  1. State Laws Database: Browse summary information and read the full text of the state authorization policy by state for public and private institutions.
  2. More Agencies: More than 1400 new agencies have been included with this update. These include licensure boards for 36 different professions across most states as well as portal agencies. Agency tags allow you to quickly search for an agency by profession while the default list displays your primary state authorization agency in the various states.  For e.g., try using tags like “licensure” to display all licensing boards in a state or “licensure, medical” for all medical licensure boards.

New Reports

Head over to reports and click on the drop-down on the right hand side to view these new reports.

  1. Physical Presence Report: Now that you have been busy updating physical presence information for your programs, this report will allow you to query that information easily and export it out for internal communication.
  2. Expense Report: Expenses now have a dedicated report and have as such been removed from being displayed in other high level reports where they were not accurately displaying the data.
  3. Student Enrollment Report: This report will let you query your enrollment numbers by state which can then be used for IPEDS or NC-SARA reporting.
  4. State Agency Report: This report will help you browse through the 1500+ agencies that are now available in Mentis for our ELC customers.
  5. SARA States Report: Use this report to keep track of the growing list of states that are now members of NC-SARA.

 

User Experience Improvements

  1. Auto-detecting links in Agency Notes: You can now simply insert a URL into your notes for any agency and Mentis will auto-detect the link and make it clickable when viewing the notes.
  2. Accessibility Improvements: We have also greatly improved the accessibility of various dialogs throughout Mentis.
  3. Other Improvements: We have made minor improvements to your user experience in ELC which includes adding tool-tips and adding additional information on screens.

 

Big Bugs Squashed

  1. Filter by Tags for State Agencies is now working as expected.
  2. Fixed issue of wrong error message while removing physical presence
  3. Audit trail for changes made to Program Coordinators are now being recorded.
  4. State Authorization Tracking and Reporting now handles scenarios where you could be tracking programs or classes against multiple agencies within the same state.
  5. Other significant bugs: Fixes on manage physical presence types, NC-SARA membership status.

Managed – Mentis 2.5.0

Mentis Upgrades

  1. Even more ways to login: Integrating authentication with your institutional directory system has a lot of moving parts and requires different people from your institution to get involved. We have now made available a standalone authentication mechanism that comes ready to go out of the box and is available when you only have a few users using Mentis. This not only frees up time of your internal IT resources but also saves valuable time during the on-boarding process.
  2. Accessibility: With this release we have improved the accessibility of the Mentis navigation so that your users can easily tab through the menu items and screen-readers can better understand the navigation elements and its components.
  3. System Preferences: Your organization admin can now update your institution’s logo, set the timezone, update other settings through an easy to access System Preferences panel.
  4. User Activity in Audit Trail Reports: All user activity like logins and logoffs are now also visible in the audit trail report.

Other App specific updates (ELC)

  1. Professional Licensure Boards: We will now start making available licensure boards for more than 35 different professions and even portal agencies. Existing users of ELC will start receiving these updates a couple of times a month.
  2. Tags in State Agencies: In order to keep track of the large number of state agencies, you can now organize them using tags. Default tags will be provided by us to help you differentiate between the types of agencies. These include state authorization agency, portal agency, professional licensure agency (e.g. architecture, dentistry) etc. You will be able to add additional tags to customize this list further.

We also squashed some bugs along the way:

  • ELC: Online Program edit dialog now loads up within an instant
  • Reports: Audit Trail report can now display all data correctly
  • Sending emails notifications for ToDos and Updates

Functional – Mentis 2.4.1

We are pleased to announce the release of yet another quick update to Mentis. The theme this release was functional as we introduced some much requested functional upgrades while crushing some small bugs along the way.

E-Learning Compliance

  1. Bulk Assignment of Physical Presence types: Update multiple physical presence for a program in multiple states at one shot using our graphical and interactive user interface. It is our way of breaking away from the standard data input and saving you more time.
  2. Configurable SARA Membership Status: You can now configure SARA membership for your institution. This is just the beginning of adding a slew of features that are dependent on the SARA membership of the institution to let us provide customized features based on your current SARA status.

 

Other Notable Updates

  1. Custom Todos: Now you can create a custom todo with reminders and start checking more things off your list. An added bonus is that now you can even view all your todos from any page in Mentis.
  2. Save report chart as image: You can now grab the image of any chart generated in reports which can come in super handy when you are working on more detailed formal reports.
  3. Indexing: We have optimized how data is indexed in Mentis giving the system a much needed performance boost.

 

Balanced! Mentis 2.3.0

We are always looking at striking a balance with making the existing system better and adding new features and that is exactly what we have done with this release. There are some much needed enhancements to Mentis, some bug fixes, and two completely new features to make your experience with Mentis and its apps more enjoyable and productive.  Here is a list of everything you can expect from this release.

Restricting login to a list of user

Up until now, the only way to restrict valid users from logging into Mentis was by creating rules at the institution. With this release the restrictions can be configured in Mentis making it even easier to implement – one more thing less to do!

Customized Import Template

Importing from excel files was always possible in Mentis, but required you to download our pre-configured template and adding your data to it. We now support your own data templates. Just upload your existing file, and match the columns of your files to what is in Mentis, and get your data in without further manual intervention.
Bonus: You can now also import courses directly into the system using Import tools.

Additional fields available for Courses and Subjects

Courses now support adding optional fields like instructional method, schedule type, campus and degree level. Additionally a subject can be associated with a Unit. All of these new fields will enrich reporting capabilities within Mentis and allow the system to provide more intelligent analysis. Stay tuned for more on this.

E-Learning Compliance (ELC) – New Features/Enhancements

  • Re-organized side-bar:  The ELC sidebar has been re-organized to make it easier to find various functional options from the ever growing list of features in Mentis.
  • State Activity Tracking: You can now manage your physical presence directly for States independent of a specific program. This will eventually allow to automate reports for physical presence triggers and make it easier to apply certain triggers to all programs that are being tracked in the state. Once you have added some information, reports are readily available to start viewing your data from different angles.
  • Customizing Statuses for State Authorization: This is a BIG one! You can now customize the display text for the core authorization statuses that are available in ELC. For example, SARA Exempt can be labeled as Authorized via NC-SARA Membership and Authorized can be relabeled as Authorized to offer. You can not only change the status labels, but also change the colors you want to use for the status along with adding an additional detail which can be made visible when visitors are viewing any programs applicable with that status. Last but not the least, you can also create new statuses on the fly – as long as they are similar in their requirements to an existing core authorization status.
  • Tracking Student Enrollment Numbers: In our last release we enabled tracking of student enrollment. In this release, we have made it better. You can now let your program coordinators track numbers for their programs, or use import tools to bulk enter. In addition, you can now run reports on the enrollment numbers that are available in the system.

Other Bug Fixes

  • Document type was not getting registered in the system for document uploads. This is now fixed.
  • Overlapping or concurrent semester sessions are now allowed to provide greater flexibility
  • Duplicate entry issue for degree was fixed (Profiles)
  • User can now update their own social network links (Profiles)
  • State Agencies without a URL do not get hyperlinked anymore (ELC)
  • All ELC data is now getting indexed on any change to make reports and explore real-time (ELC)
  • Same course cannot be added more than once to an online program (ELC)
  • Courses that are not being taught are also available for viewing under Associated Courses for Explore (ELC)

Interactive Visual Dashboards, Google Authentication support and more in Mentis 2.2.0

Good things come in small packages, just like this update! We are excited to finally make available the new interactive ELC dashboard available as a Labs feature in this update. Here is a complete list of everything you can benefit from in this update:

Google Authentication

We already support LDAP, ADFS and Shibboleth for authentication, but can now also accept Google’s Authentication. So, if you are a Google Apps user, you can start using the system without any additional configuration requirements immediately.

Labs

Labs has been launched to allow us to bring you all the latest and greatest ideas in Mentis at a fast pace. Once the idea is solidified in Labs,  it would be added as a standard feature in subsequent upgrades. Watch out for the keyword Labs in the sidebar to try out any Lab feature.

E-Learning Compliance App (ELC)

ELC Dashboard (Labs)

The ELC Dashboard showcased at the WCET 2015 Annual Conference, is now released under Labs for all of you to try. This dashboard allows you to see a birds-eye-view of your state authorization progress at a glance and allows you to interactively derive insights using fast and rich visual analytics. This is just the beginning of a complete gallery of interactive visualizations that we have planned for ELC.

Tracking Student Enrollment Numbers

You can now enter student enrollment numbers for each state and program offering by semester. Enrollment can be added as a total number for the state and/or by concentration. Stay tuned on how this information will be used in reporting and for decision making in our upcoming update.

Other Bug Fixes

  • ELC: Improved error handling when required data is missing
  • Reports: The system gracefully handles when there is no data or less data available for any particular report

New Features

E-Learning Compliance App (ELC)

Notes and Other State Agency Contacts

You can now open up the details of a state agency and add or update other contacts at an agency. You can also add notes, edit your own notes and view notes added by other individuals in your team so that you always have a record of your communication with the state agency.

Concentrations

You can now map your online programs to concentrations allowing you more ways to track your state authorization progress.

Coming Soon in a future release: Track student enrollments by semester, year and/or concentration, run reports by concentrations and let your visitors explore your information by concentration.

Physical presence flags

You can now also indicate which of your online program meets a physical presence in a state. We have shipped this feature with some generic physical presence triggers and sub-triggers but you can manage and customize these as per your institution through the Manage Physical Presence page.

Program Coordinators

You can now delegate some of your workloads to different Program Coordinators. Program Coordinators can manage Online programs that are associated with their unit and also maintain the authorizations status for their programs.

Profiles

Wizard-based data entry for your users

Profiles can be very demanding of your faculty since there is so much that needs to go in for you and them to benefit from all its reporting and integration features.  We have therefore revamped most of the data intensive profile sections (e.g. Publications) to use some intuitive wizards. The wizards allow us to guide the users as they attempt to add or edit their information.

Org Admins can now edit all Profiles

Designated Org Admins at your institutions now have full control over all the Profiles. This means that you can service your users with needing to contact us. We are of course always available to help.

Core Mentis Upgrades

New App Admin Page

Mentis now has a separate manage page for App admins. Admins can assign/change/revoke application specific role to other users.

Super fast and interactive reporting charts

We have upgraded our charting system to provide better visualization options at super-fast speed. Look out for more updates related to this feature in the upcoming releases.

Filter Course and Award reports

You can now filter the courses and awards reports on various attributes.
